Share documents

The app offers the option of sharing documents with other people or transferring them to other applications.

Currently, only documents can be shared individually.

For this function you need the rights Documents – Read – General. You currently configure these rights via the Amagno Client for Windows.

  1. Select a file by clicking or touching it, e.g. in the documents of a file cabinet or from a search
  2. The full-page preview appears
  3. Select the quick actions at the bottom right or start the whole menu
  4. Select the Share action
  5. Select one of the formats in which you would like to share the document

Depending on the device and operating system, a selection of options for sharing the document will then appear, e.g. the share dialog on iOS or Android, downloading the file itself when using the browser or copying a link to the clipboard.

If there are several versions of this file, the latest version is always offered. If a newer version is on a user’s desktop, it is not taken into account as it has not yet been published.

The selectable formats also result from the necessary rights, among other things.

Basically, you need the Documents – Read – General right.
For the original format , you also need the Documents – Read – Original right . For the PDF Preview format, you need the Documents – Read – PDF right. To view the PDF preview with annotations, you also need the Documents – Read – Annotations right.

The file is offered in its original format.

Share PDF preview

If the file format is not a PDF, the app attempts to create and offer a PDF.

An attempt is made to generate the look as a PDF for many file formats. This may differ from viewing the document in its original format.
The PDF preview is not a vector format, as PDF often is. The file size can therefore differ significantly from a standard PDF.

Share PDF preview + annotations

If annotations have been added to the document via the app, the app can merge the annotations and the preview pages into a PDF.

The app combines the preview and annotations into one image and not, as is usual with other solutions, via layers. This means that redacted annotations actually hide the text behind them and prevent the text behind them from being read.

The PDF preview with annotations combines the preview graphics and the annotations as images per page in one PDF. As these are not vector formats, as PDF often is, the file size can differ significantly from a standard PDF.

An authenticated link is a special URL to the document in the app. It requires you to log in as a user who requires read rights for the document. This link is used to share a kind of bookmark to the document between users of the app.

The weblink is a URL that can be shared with people and generates a download of the document. It does not require authentication.

The link is a low-memory way of sharing files securely.

  1. Select the + symbol at the bottom of the app’s share dialog to create a simple web link.

In the classic client for Windows, special web links can be created, e.g. with reference to a special version, expiry date, password, type of download.
